Duo Update and CI Network Maintenance

Please be advised that with a recent network update to Duo, our two-factor-authentication system, there may be additional campus resources that prompt you to login with Duo.  Integrating Duo with these  resources is an important part of securing our campus digital assets.

The experience of using Duo with most services should look the same.  Most often you will see the familiar dialog box below.  Note that you can click the "Remember Me" check box which will reduce the number of times that you need to authenticate in a single day.

Where is your old computer?

This is a reminder that old computers (generally 2 years beyond warranty or 5-7 years old) should be promptly removed from campus.  It is important that old computers be removed as they can pose security risks and cause friction in user and IT workflows.

You’ll be practicing good digital citizenship by notifying IT of old computers in need of removal. Please submit a Solution Center/Help Desk request for us to decommission such machines.  We can make special arrangements to have them physically removed when it is safe, but first we need your request submitted to plan the work.

LinkedIn Learning

A friendly reminder to all CSUCI faculty, staff, and students regarding LinkedIn Learning:  Our campus provides you with 24/7 full access to LinkedIn Learning. Purchasing this subscription individually could cost you over 300 per year!
 
Take some time to review LinkedIn Learning’s rich set of course offerings that reach beyond technical training.  Set training goals for yourself and follow learning paths on any subject of interest in the catalog.  In addition to technical and business courses, you may also take creative courses like photography or audio editing – all for free.  Just remember to access LinkedIn Learning from the myCI portal , (not linkedin.com/learning) for the free access.  Courses are accessible from your computer anywhere that you have a good internet connection, and you’ll earn a certificate when you complete a course.

OneDrive Portal and Training

Faculty and staff members: Are you taking advantage of our OneDrive cloud-based storage and collaboration tool?  Our new OneDrive Portal can help!  In just a few minutes you can learn how to access OneDrive and immediately start using it to store and share files.  Users have a default of 5 GB of secure storage accessible from desktop or mobile devices.


The portal site has lots of great information to help you make the best use of OneDrive.  Start by reviewing some of the documentation and training materials provided by Microsoft.  For a deep dive into how OneDrive is being used on campus, review one of our recently recorded practice sessions given by our very own OneDrive training team.

Using LabStats to access to the Library PCs

Last spring ITS introduced the CI Virtual Lab, providing access to a completely new virtual computing environment. The CI Virtual Lab is still available but users now have another option.  

Using a product called LabStats  students can remotely login to specific computers in the Library gaining access to all of the software installed on them. Be sure to read the instructions for using Labstats, and then move on to the remote access portal page which lists all accessible computers. 

 


 

Access to these machines is freely available to students but may be affected by the Weekly Technology Maintenance Plan and Schedule. If you have questions or need assistance with remote access please contact the ITS Solution Center at 805-437-8552 or submit a Solution Center support request.

Cameras and Zoom Kits to borrow

Dear Colleagues,

ITS has acquired a few camera items that may be borrowed on short-term loan to help support virtual instruction.  Instructors may borrow one of the following kits or items for one week starting September 1, 2020.  Submit a Help Desk/SSSC ticket requesting one of the specific item types below.

Note: Please plan for equipment pickups or drop offs between 10am and 2pm most days.  Exact times and locations will be confirmed in the Help Desk ticket.


Item Type: Mobile Lecture Recording Kit 
This kit includes the following items.  Three kits are available.

•    Camera: Canon EOS M 50  (camera includes an SD card)
•    a wall power adapter
•    Mic: MXL AC404 USB
•    Tripod
•    Standing Lights
 
Item Type: Zoom Kit 
This kit includes the following items.  Two kits are available.

•    Webcam
•    Speaker/Mic combo

Item Type: Meeting Owl
This single item is a combination speaker, mic, and webcam that connects to your computer.  One item is available.  See this short knowledge base article on instructions for use.
 
Since the number of these items is so limited requests made in advance will be prioritized as request reservations.  The requestor will be notified through the help desk ticket regarding when and where requested items may be picked up.   Note that reservation requests are not confirmed until the requestor receives confirmation in the help desk ticket on availability.

E-waste and proper disposal of old computers

Please be advised that old, unused, or out-of-date computers should be removed from campus by CSUCI’s property management department.  IT Services will help coordinate pickup and disposal of such computers on an on-going, as-needed basis.

If you are aware of old computers (laptops or desktops) that are beyond their useful life please let us know about this by creating Shared Services Solution Center (SSSC) tickets for them as promptly as possible.  Old computers should not be held by faculty or staff in offices nor at home.  Out of date computers run the risk of being compromised and often cannot be supported.  They must be disposed of properly at their end of life.

We appreciate your help in following good digital citizenship practices by eliminating old computers, and reducing potential security risks to university data and our network.

Backup-Backup-Backup!

What is World Backup Day?  Simply, it is a day to remind us of the responsibility we all have for keeping our important data backed up.  Most of us have a (painful) story of having lost a file or found one somehow corrupted.  Stuff happens.  The best way to protect ourselves from data loss is to make regular backups.  Fortunately, you have several resources available to help.

You can copy important files to Dropbox@CI, CI Docs (powered by Google Drive), or OneDrive, cloud services available for free to CI members.  Log a Solution Center request if you need help with these services.  You can also manually copy files to an external drive, knowing that storing that drive in a different physical location from your computer gives an extra level of protection.  For a more automated or structured approach, Microsoft includes File Recovery software with Windows 10 (or Backup and Restore if the computer is running Windows 7), while Apple’s Mac operating system has the Time Machine program for backup.

There’s more than one way to backup, and using multiple methods is good practice!  

Want to learn more?  Don’t forget that CSUCI members have free and unlimited access to some excellent tutorials that you can access via LinkedIn Learning service (formerly known as Lynda.com).  Tutorials run the gamut from mobile device, Mac and PC desktop backups, to large data set backup strategies often used by researchers and system administrators.  Take a look.

Good backups will give some peace of mind in the event of a natural disaster or when surprises  due to viruses, malware, ransomware, or human error occur.  Please, take a few minutes to celebrate World Backup Day on or before March 31 by doing at least one new thing to improve your personal backup strategy.

What is EkhoTech?

EkhoTech is a term we use that refers to a person, group, event, or communication that promotes the innovative use of technology.  We want to make sure that the campus knows about the rich set of technology tools available for use, and for users to give us insight into the kinds of improvements and enhancements that would make them even better.  EkhoTech efforts strive to connect people and technology in the best possible ways.

Our next EkhoTech event called Tech Talks, also known as "speed dating for technology," will be held soon.  This promises to be a fun, open hour featuring some of the most popular technologies used at CI.  Get power user tips from other technology enthusiasts, and give IT staff your feedback on the tools that are demoed.  Please join us!
