Best practices for file access from shared instructor workstations in classrooms and labs

We're pleased to share some best practices for instructors or presenters who use the shared instructor workstations in CSUCI's shared classrooms and labs.

The recommended way to access files in our shared teaching and learning spaces (classrooms and labs) is through CI’s cloud-based, web accessible repositories: Dropbox@CI, CI Learn (Canvas), and CI Docs (Google). These repositories are configurable to allow users to organize and share files as needed. The strategy to provide cloud-based file sharing that is secure, robust, and scalable is preferred over maintaining on-site network share drives.

In shared classroom/lab environments, consistent and reliable workstations with little personalization are necessary to ensure that:

  • each user has a predictable, consistent experience in the classroom;
  • hardware can be quickly and easily replaced in hot swappable fashion as necessary; and
  • resource allocations (disk space) are protected and controlled to provide the best performance possible for all users. 

With the trend toward using cloud-based file repositories comes the need for users to be aware of the capabilities and limits of these services when accessed from shared computers. In addition to sharing files through the CI supported web services, instructors and students can also access and edit files in the classroom from their own USB drives.

While full access to individual personal files is permitted, features like the Dropbox App may not be supported in order to allow successful use of the shared computers by all.

CI Docs now has unlimited storage

Thanks to an upgrade to CI's Google Apps to Education platform, Dolphin Pod, students & employees now have unlimited storage.

This means that students & employees who use CI Docs, Dolphin Email or other Dolphin Pod services can store unlimited documents, photos and other files.

You can check how much storage you've used by visiting the Google Drive storage page (you'll need to login to myCI first before you visit that page to see your new updated storage capacity).

Be careful with cyber-cafe computers.

Cyber-cafe's offer a convenient way to use a networked computer when you're away from home or office. But be careful though. It's impossible for an ordinary user to tell what the state of security on those computers might be. Since anyone can use them for anything, they've probably been exposed to viruses, worms, Trojans, keyloggers, and other nasty malware. Should you use them at all? They're okay for casual web browsing, but they're NOT okay for connecting to your email, which may contain personal information; to any secure system, like the network or server at your office, bank or credit union; or for shopping online.

Sharing Documents in CI Docs

CI Docs is a powerful service for creating and collaborating on documents, spreadsheets and presentations within the CI community.


The powerful sharing features in CI Docs enable users to share documents with one or more CI students, faculty and staff for real-time collaboration. It's just as easy for CI Docs users to share their documents with friends and colleagues outside of CI.

Important notice regarding student Dolphin Email and CI Docs

Earlier today, the Division of Technology & Communication (T&C) became aware of an email addressing issue in Dolphin Email. The problem was introduced as a result of changes made during the launch of CI’s new document collaboration service, CI Docs.

This change created some confusion for students using Dolphin Email, resulting in some students sending emails to faculty email addresses that do not exist. To immediately reduce confusion at this critical time of the semester, this evening (Wednesday, December 5, 2012), T&C will disable the global address list within all Dolphin Pod services, including CI Docs and Dolphin Email.

When sending email from Dolphin Email, please remember that all official CI faculty and staff email addresses end in “@csuci.edu”, and all student email addresses end in “@myci.csuci.edu”. There are no faculty or staff email addresses that end in “@myci.csuci.edu”.

You can check for correct student, faculty and staff email addresses in the CI Campus Directory, or by replying directly to an email sent to you from the person you are trying to contact. Dolphin Email users can also check their “Sent Mail” to verify that email has been sent to the intended email address.

In addition, this change will temporarily eliminate the ability to look up faculty & staff user names for document sharing in CI Docs, although it does not otherwise restrict document sharing functionality with faculty and staff in any other way. We are working on resolving this issue and will provide further updates on this blog.
