Monthly Bulletin - April 2019

I'm pleased to share our monthly bulletin, which provides a summary of activities & accomplishments for the department of Information Technology Services (ITS) over the previous month.

Administration (AVP’s office)

  • Jim August joined ITS as Associate Vice President for Information Technology Services and CIO on April 1st. Please join us in welcoming Jim to campus and to the Division. Jim's office is located in Lindero Hall 2824.

User Services

  • User Services and Infrastructure completed various network upgrades for the Goleta Campus:
    • The campus network equipment appliances and wireless access points have been updated for improved security and to allow for growth of campus Digital Signage.
    • A SCCM server has been built and configured, and will be used for workstation deployment.
  • New practice instituted for requesting and providing vendor quotes using TeamDynamix (TDX) ticketing system. This should reduce the amount of time end users wait for quotes, eliminate the need for duplicate quotes and aid the purchasing workflow by having the quote and procurement request accessible via TDX.
  • Worked with several departmental support coordinators by providing advice on their computer purchases needed to bring user workstations up to standard

Application Services

  • Wayne Goodwin is leaving ITS; his last day working will be May 10. Please join us in wishing Wayne success in his future endeavors. 
  • Move to Production has been scheduled for the following items for 4/2/2019:
    • Watermark/VIA Interface
    • Canvas LMS Integration updates
    • IVO Registration Import
    • CI Fileflow Enterprise Document Management (EDM) Interface
  • Work continues on the implementation and rollout of Med-Proctor to support the Immunization Records Executive Order from the CO by Shawn Bochat.
  • Work continues on Student Financials Summer/Fall configuration activities and MSLI setup by Lacey Lovejoy
  • Work continues on the Campus Logic project for Financial Aid by Wayne Goodwin
  • PeopleTools Upgrade to 8.56 was completed with minimal impact the weekend of 4/5.  Thanks to all the ITS and functional support personnel who helped make this happen seamlessly.
  • Maintenance packs MP 6.03 was migrated to our production CI Records and CI Personnel 4/2/2019
  • Application Services continued supporting the following operations and projects:
    • Via by Watermark
    • Student Finance and Student Business Services Training and Support
    • Title IX Interface Re-design
    • LCD Issue Support
    • CSU Learn for CI
    • Financial Aid Setup and Processing
    • Med-Proctor Immunizations
    • Migration Operations 

Infrastructure

  • Ongoing work with Police Department, Lock Shop, Communications and Marketing on the campus S.A.F.E. project
  • Temporary WiFi Setup for Arts Under the Stars Event
  • Mike Long served as MC for Campus Staff Awards and Faculty Commemoration
  • Consult with campus Police Department and Ventura County Sherriff’s Office for camera setups for Commencement
  • Cable install work for Commencement camera installs
  • Met with Casa Pacifica team to detail needs for their annual fund raiser
  • Consult with State Legislative Data Center team for upcoming livestream of Assembly Hearing on campus
  • Interviewing candidates for Student Assistant (Infrastructure Systems Specialist)
  • Enabled single sign on (SSO) for ScholarWorks and MedProctor
  • CommVault backup appliance prep work started. Once completed we will work with CommVault Professional Services to complete hopefully by end of May 2019.
  • Patching critical Windows server vulnerabilities per the latest Qualys scan
  • Started gathering third party email records to update our campus SPF record to further test DMARC and other anti-spam/spoof policies
  • Created a system-wide (CSU) working group to pursue a common DDI (DHCP, DNS, IPAM) product to be used at all CSU campuses
  • Created a system-wide working group to utilize Node-Red programming suite to automate time consuming network tasks

Information Security

  • Information Security held Business Email Compromise awareness training for Career & Internship Fair on 4/9, Extended University on 4/15, and for about 50 Student Affairs Staff on 4/29
  • Information Security in collaboration with Technology Infrastructure rolled out the first round of Duo 2-Factor Authentication to employees with L1 data access in CI Financials.  These rollouts will continue until all employees are on 2-Factor Authentication.
  • Neal Fisch completed the following regular audits:
    • Monthly - Segregation of Duties in PeopleSoft
    • Monthly - System Access vs. Terminated EE’s
    • Quarterly Data Center and Oracle Account Audit

Project Management

  • Organized and coordinated two workshops for students & employees on best practices for using LinkedIn to develop your personal brand, connect with others, and leverage LinkedIn Learning to build skills and create learning paths
  • Assist new CIO Jim August in transition & onboarding
  • Peter Mosinskis led business continuity planning tabletop exercise "The Day the Network Died" for Business Continuity Planning committee
  • Digital citizenship & literacy: Melissa Bergem led workshop in collaboration using CI Docs (Google Docs, powered by Google GSuite for Education) through the Professional Development & Personal Enrichment (PDPE) team
  • Peter Mosinskis attended Salesforce HigherEd Summit in San Diego
  • Publicized, solicited and submitted 2 Innovation Minigrant proposals to the CSU Chancellor's Office "CSU Innovate" program
  • Publicized & solicited proposals for Amazon Web Services (AWS) credits for the CSU Chancellor's Office "CSU Innovate" program
  • CI Fileflow: work continues on Brainware for Transcripts integration and addressing of operational issues in preparation for go-live on 5/6. Enrollment Management is purchasing additional consulting hours for post-launch Brainware support, and ITS is scheduling Brainware training for selected team members. 
  • Planning and proposal development in support of new Chancellor's Office accessibility program entitled "CSU Addressing Accessibility Requirements Projects (CAARP)"
  • Online Island View Orientation: completed IT integration. System is live and production web address has been established. Go-live expected on or before June 17. 
  • Tara Hughes, Dawn Canfield, Michael McGarry, Wendy Olson, and Peter Mosinskis were invited to present at the 3rd annual Cal State Tech conference on the topic of "Developing Digital Citizens and Technology Ambassadors"

Web Services

  • Congratulations to the Web Services for receiving the Collegiate Advertising Awards Gold Award for the design of the CSUCI News Center web site
  • Digital citizenship & literacy: Daniel Martinez led workshop in creation of electronic surveys & forms using Qualtrics through the Professional Development & Personal Enrichment (PDPE) team
  • Organized and led mentorship and job shadowing half-day workshop for Newbury Park High School DATA academy students 
  • Completed vertical collapsing table design pattern for enhanced web site tables functionality in the web site Pattern Library
  • Event Calendar migration: met with Nancy Gill and Kim Ritchey to plan out migration of existing public-facing events calendar to Trumba
  • Worked on single-sign on (SSO) provisioning integration to support housing StarRez Portal X system upgrade
  • CI Fileflow: worked on adjustments to TS130 process for local community colleges; also Brainware Visibility installation, configuration and troubleshooting
  • Design & content work on Extended University home page changes, Academic Roadmaps forthcoming web site, and LinkedIn workshop advertising
  • Completed 67 support tickets this month
